What BEST does

BEST is a Google Chat bot that lives in our team and client spaces. It quietly listens, keeps a searchable memory of conversations, tracks daily check-ins / end-of-day reports, and watches response time on @mentions.

You don't have to do anything special — when the bot is in a space, it captures the conversation. The commands below are available when you want to interact with it directly.

TL;DR

  • Type @best followed by a command in any space.
  • Check in around 9:00 AM, submit EOD around 4:45 PM Manila time.
  • Reply to @mentions within 15 minutes (SLA).
  • Going on lunch / break / errand? Use @best afk.

Daily routine

Morning check-in (≈ 9:00 AM)

BEST posts a check-in prompt in the Daily Report space. Reply on the same thread with your goals for the day:

1. Finish Studio Luna landing page review
2. Ship 3 ad creatives for Truffoire
3. Sync with Maureen on color palette

Numbers / bullets / new lines are all fine. Anything between 8:50 and 9:15 counts as on-time. After 9:15 is logged as Late.

End-of-day (EOD, ≈ 4:45 PM)

BEST posts an EOD prompt. Reply with links to what you finished:

Drive attachments are also accepted — drop the file directly into the EOD thread.

@best commands

Type these in any space where the bot is present.

Command What it does
@best update <text> Log a status update for the current space. Bot summarises and saves it.
@best ask <question> Ask anything about this space's history. e.g. @best ask what did Ivan ship last week?
@best brief Generate a daily briefing of recent updates and tasks across all spaces.
@best check @Name See assigned tasks and recent activity for a teammate.
@best undo Removes the most recent update you logged (only works in the same space, your own row).
@best wiki <client> Look up a client's saved profile and notes. Example: @best wiki Studio Luna
@best afk [reason] [duration] Pause idle tracking. See below.
@best back Resume idle tracking after AFK.

Assigning a task

Mention a teammate with @ and the bot will track that they were tagged and the response time:

@best @Ivan please refresh the Studio Luna mockups by EOD

A 15-min SLA timer starts. The mentioned teammate replying in the thread closes it.

Stepping away (AFK)

If you'll be silent for more than 30 minutes during work hours (lunch, errand, doctor visit, deep-focus task), tell BEST so it doesn't flag you as idle. Examples:

@best afk lunch

Default 60 min. Reason shown in dashboard.

@best afk doctor 2h

2 hours. Use m for minutes, h for hours.

@best afk deep work 90m

Limited to 5 min – 4 h.

@best back

Manually clear AFK before the timer expires.

If you don't run @best back, AFK auto-expires at the duration you set.

Mentions & SLA

When someone tags you with @YourName, you have 15 minutes to acknowledge or reply. The bot logs whether you met the SLA.

Acknowledging counts as either:

  • A reply in the same thread (any text).
  • An emoji reaction on the message that mentioned you.
  • An "on it" / "got it" / "working on it" style ack — that's enough to stop the timer; you can deliver the actual work later.

Persistent SLA breaches are reviewed weekly.

Privacy & data

You should know what BEST records:

  • Captured: messages in spaces where the bot is a member, your check-ins, your EOD links, response times to mentions, your idle / AFK status during work hours.
  • Not captured: direct messages between two people that don't include the bot, anything sent in spaces the bot has not been invited to, files you don't share into a space.
  • Stored where: on the company's own server (bot.chcking.com) and in our private Google Sheets. Data is not sold or shared with third parties.
  • Used for: internal coordination, performance reviews, payroll inputs (idle time), and historical search.

If you have questions about how your data is used or want a copy of the records about you, message your manager directly.

Help / Issues

  • Bot doesn't reply? Tag it once with @best brief in the affected space — that confirms it's listening.
  • Wrong status (e.g. shows you idle when you're working)? Send any message and it clears.
  • Wrong info captured / want it deleted? Ask your manager — admins can edit DB records.
  • Want a feature? Tell the team lead.
